When things just work

In grad school I became obsessed with efficiency.

I took a class on operations management, and it kind of rewired my brain. I started seeing everything in systems. What works, what doesn’t, and how to make things run smoother.

When it comes to marketing, nothing beats a well-design system. You don’t need a fancy tech stack or the latest tools. You just need a system that makes sense so you don't waste your time, money, and energy on performing unnecessary tasks.

Often, I see therapists feeling stuck because they can’t always connect the dots between a marketing task (like posting on Instagram) and actually getting more clients.

How many of you have dabbled in Instagram because you thought that the more you put out there, the more people will want to book an appointment with you? I know I did.

Spending hours figuring out what to post… writing the caption… editing the video… and then - crickets.

With no cohesive system behind this, it feels pointless. But if you drop your instagram activities into your marketing funnel, it suddenly makes sense.

So if you want to put together an efficient marketing system, think of it in these 5 steps:

  1. Build online presence: website, directories, social media
  2. Create awareness: outreach, content, PR
  3. Generate leads: organic online traffic, referrals, or ads
  4. Convert leads to clients: booking tools, emails, nurture flows.
  5. Retain clients: excellent service and follow-up

When you look at marketing this way, it’s not a mystery. It’s just a system. And systems can be improved.
